What to Expect at a Corporate Headshot Session in Philadelphia
You’ve been told the company is bringing in a photographer. Maybe you volunteered for this, maybe you didn’t. Either way, you’re wondering what actually happens during a corporate headshot session — and whether it’s going to be as awkward as you’re imagining.
It’s not. Here’s what to expect when I show up at your Philadelphia office.
Before I Arrive
I handle the logistics before session day. Your office manager or HR contact tells me how many people, and I build out a time slot schedule — usually 5 minutes per person. Everyone on the team gets an individual appointment time and a reminder email with wardrobe guidelines.
The wardrobe guidance is simple: solid colors, no busy patterns, no bright white. Navy, charcoal, burgundy, and jewel tones photograph best. I send specific recommendations based on your industry — what works for a law firm is different from what works for a tech company.
Setup Takes About 30 Minutes
I arrive early and set up in a conference room, empty office, or lobby — anywhere with decent ceiling height and a couple of power outlets. I bring everything: professional studio lighting, backdrop, tethered monitoring system, lint roller, steamer, and mirror.
Your team doesn’t need to prepare the space or move furniture. I work around what’s there.
The tethered monitor is key — it connects to my camera so you see every image in real time. No guessing. No waiting three weeks to find out if you liked any of them.
Your 5 Minutes in Front of the Camera
This is the part people worry about. Here’s how it actually goes:
First 30 seconds: You walk in, I adjust the lighting for your skin tone and height. Quick conversation about how you’ll use the photo — LinkedIn, company website, conference materials.
Next 3 minutes: I direct everything. Where to put your chin, how to angle your shoulders, when to relax your jaw. You don’t have to figure out what to do with your hands or wonder if you’re doing it right. I’ve photographed over 5,500 professionals — I know what works for every face shape.
Last 90 seconds: We look at the monitor together. You pick your favorites on the spot. Most people are surprised they actually like what they see.
The number one thing I hear afterward: “That was way easier than I expected.”
What Makes On-Site Corporate Photography Different
I photograph teams across Greater Philadelphia — Center City law firms, King of Prussia corporate campuses, Main Line financial advisory offices, medical practices in Wayne and Radnor, tech companies in Conshohocken. Every location is different, but the process is the same.
The advantage of on-site sessions: nobody leaves the building. Your team loses 5 minutes each, not half a day traveling to a studio. And because I control the lighting, the results look identical whether you’re photographed in a corner office or a storage closet.
Every person gets the same professional standard. Same lighting. Same quality. Same flattering direction. Your website finally looks cohesive instead of a patchwork of selfies and outdated photos.
After the Session
Standard delivery is 3-5 business days for fully retouched images. Every photo gets professional color correction, skin smoothing that looks natural (not plastic), and any temporary blemishes removed. You receive high-resolution files sized for both web and print, delivered to a private online gallery.
Rush delivery is available if you need photos within 48 hours. For conferences and events, I offer same-day delivery — your team can update LinkedIn before they leave the venue.
The Part Nobody Tells You
The biggest surprise isn’t the photography — it’s how easy the whole thing is for the person organizing it. You tell me how many people and when. I handle scheduling, reminders, wardrobe guidelines, setup, breakdown, directing every session, labeling every photo, and delivery.
That’s why office managers keep calling me back. Not because I take great photos (though I do). Because I make their job easier.
